1. Who we are
ColonyMate℠ ("ColonyMate," "we," "us") is a residential society and resident management platform developed and operated by Optimum Software Co. ("the Company"), a micro-enterprise registered under the Udyam Registration scheme of the Government of India (Udyam Registration Number: UDYAM-UP-56-0177100). This Privacy Policy explains what personal data we collect through colonymate.tech and the ColonyMate application, how we use it, who we share it with, and the choices and rights available to you.
2. Who this policy covers
ColonyMate is used by two kinds of people, and the data we hold differs slightly for each:
- Society administrators — the office-bearer(s) of a residential society who register the society on ColonyMate.
- Residents — individuals invited by their society administrator to use ColonyMate.
3. Information we collect

4. How we use your information
- To create and secure your account.
- To operate the core service: maintenance billing, complaint tracking, and notices.
- To process payments through Razorpay and send you payment receipts.
5. Security & Data Retention
We use industry-standard measures to protect your data, including encrypted transmission (HTTPS). We retain resident and society data for as long as your society's account is active, and for 8 years after account closure, in line with Indian accounting record-keeping obligations.
